Overview

Job Summary

As part of the Administration Services team, performs a range of administrative tasks, including processing incoming and outgoing mail and parcels, providing front of house services, and supporting departments, stores, and distribution centers with administrative needs.

 

Typical Duties and Responsibilities:

 

  • Provide friendly, engaged service to internal and external customers by telephone, email, and in person with a focus on developing and delivering solutions.
  • Receive and process high volumes of incoming, outgoing, and interoffice mail and packages, using both manual and automated methods across multiple carriers; including, packing, sorting, date-stamping, weighing, and complying with special requests.
  • Develop and deliver efficient and effective solutions for large or unique mailing projects.
  • Manage building supplies to ensure all areas are sufficiently stocked.
  • Process print and supply orders from all company locations, sending them to the appropriate printing source for completion.
  • Perform reception duties including telephone coverage and guest services
  • Arrange meeting rooms for trainings and special events
  • Provide assistance with special projects for various departments across the company.
  • Assist with company recognition and community support programs.
  • Perform other duties as assigned or needed.

Requirements

Education:

  • High School Diploma or equivalent

Experience:

  • Effective time management to ensure deadlines are met and tasks are completed.
  • Provide exceptional customer service and work as part of a team.
  • Some experience in Word and Excel is preferred.
  • Demonstrated ability to learn customized and specialized software.

Ability to:

  • Utilize excellent verbal, written and inter-personal communication skills to establish and maintain good rapport with co-workers, team members, vendors, customers, and the public.
  • Reach, lift, stack & maneuver packages and boxes up to 50 lbs frequently throughout the day.
  • Perform tasks requiring manual dexterity for packaging, sorting, and distributing.
  • Stand for long periods of time, walking, reaching, pushing and pulling hand trucks, mail carts and pallet jacks.
  • Bend, stoop, twist and turn frequently.
  • Visually read and understand materials, labels, and instructions.
  • Perform all tasks with integrity and confidentiality.

Additional Requirements:

  • Must be at least 18 years old.

Machines and Equipment Operated:

  • Postage equipment including label machines, openers, stuffers, and scales
  • Desktop computers and associated software including Word, Excel, and Outlook as well as specialized postage and printing applications
  • Copiers, scanners, multi-line telephones
  • Paper cutter and laminator
  • Hand trucks, pallet jacks, and wheeled carts
