Overview

Job Summary

 

Assist store operations team in and administering facility maintenance projects through coordination of the help desk ticket and purchase order system.

 

Typical Duties and Responsibilities


·         Manage help desk ticket requests for existing stores. Route tickets to the appropriate maintenance vendor or staff. Follow up to ensure requests are resolved timely and effectively.

·         Manage purchase orders for new and existing stores. General knowledge of equipment with the ability and familiarity to read construction documents to develop plan take offs for equipment needs.  Route purchase orders to appropriate equipment vendor. Follow up on purchase orders to ensure equipment is ordered and delivered timely.

·         Audit incoming help desk/purchase order and maintenance invoices for accuracy and relevant help desk ticket/purchase order reference number. Review and monitor other maintenance and repair expenses for accuracy.

·         Perform other duties as assigned.

 

Requirements
Education:

 

·         High School Diploma or Equivalent.

 

Experience:


·         Demonstrated proficiency with numerical data and calculations.

·         Providing excellent prioritizing skills with the ability to manage multiple projects simultaneously and meet critical deadlines.

·         Applying strong analytical and problem-solving skills with close attention to detail in order to effectively monitor progress and complete assignments, performing all duties with efficiency and accuracy.

·         Utilizing excellent verbal, written and inter-personal communication skills to establish and maintain a good rapport with co-workers, Supervisors, store personnel and vendors.

·         Proficiency in the use of Microsoft Office software (Word, Excel, Outlook, etc.)

          Preferred Experience:
·         Work experience, education and/or certification related to purchase order and invoice processing in a facilities maintenance position.

 

Ability to:


·         Utilize excellent verbal, written and interpersonal communication skills.

·         Must be a team player and be willing to follow directives.

·         Be self-directed and demonstrate excellent time management skills.

·         Maintain a high degree of confidentiality with sensitive information.

·         Demonstrate initiative and self-direction to perform a variety of simultaneous skills (multi-tasking).

·         Sit for extended periods of time

·         Demonstrate manual dexterity for typing, 10-key, data input, paper sorting, etc.

 

Machines and Equipment Operated:


·       Office machines (e.g., copy machine, computer terminal, telephone, fax, etc) and other devices.
