Overview

Job Summary

 

Provide administrative and clerical support to store management personnel. Perform back-up functions when coverage is required for other areas of the store. Consistently provides friendly, courteous customer service to internal and external customers. Performs other related work.

 

Typical Duties and Responsibilities

  • Seeks opportunities to welcome, engage, serve and thank customers. Maintains an atmosphere of friendly, enthusiastic customer service with an emphasis of taking care of the customer.
  • Answer and direct in-coming phone calls.
  • Process in-coming and out-going mail by insuring it is in the right slots, delivering to the correct location or mail drop, etc.
  • Send and receive information by computer terminal.
  • Perform clerical duties (type, create reports, distribute and send paperwork, file, follow up on weekly reports, collate, staple, fax, process checks, proof documents, prepare forms, maintaining office supply inventory and responding to needs, make employee name badges, etc.).
  • Input information (e.g., department schedules, invoices, relaying information from other stores and General Office to the appropriate individuals, credits and charges, inventory, safety information, etc.) by computer terminal.
  • Assist visitors coming in-person to see specific personnel.
  • Review accuracy of information (i.e., insures employees punch time record accurately by verifying payroll and correcting punch errors, investigating discrepancies, etc.).
  • Input attendance and follow up with manager.
  • Answer employee related questions (i.e., insurance, employee contract, general company policy, etc.)
  • Manage online application process for store positions (i.e. post open positions, review applications, forward applications to hiring manager for review, conduct phone screens, schedule information meeting or information gathering, schedule interviews, track and process online applicant status timely.)
  • Process new employee hires. Complete new employee onboarding, orientation and training as directed by the hiring manager.
  • Process workers compensation claims and complete all necessary documentation and follow up.
  • Process and handles customer accidents (general liability) claims and reports. Communicate with customers and insurance as needed.
  • Provide assistance to employees regarding Federal and State Leaves and submit paperwork (FMLA/Protected Leave) to the proper Compliance Clerk.
  • Manage demos (demo meetings, billing, ordering product)
  • Handle returned checks and related activities.
  • Monitor ongoing employee training requirements.
  • Maintain a high degree of confidentiality.
  • Performs other duties as assigned or needed.

Requirements

Education:

  • High School Diploma or equivalent.

 

Experience:

  • Performing basic office clerical tasks.
  • Performing telephone reception duties.
  • Communicating (hearing and speech) with individuals and performing interpersonal and customer relation skills in an alert and responsive manner.
  • Fielding and prioritize different tasks, phone calls and projects.
  • Applying knowledge of general office practices and procedures and excellent organizational skills.
  • Demonstrating working knowledge of Microsoft Office (Excel, Word, Outlook, etc.) software.

 

Ability to:

  • Consistently provide friendly, courteous service to internal and external customers.
  • Work varied hours primarily between 7:00 am to 5:00 pm in a 24/7 operation; including nights, weekends and holidays.
  • Perform tasks requiring manual dexterity (e.g., processing of paperwork, filing, stapling, collating, operating a keyboard at 40 wpm, 10 key by touch, operate a computer printer, faxing, etc.).
  • Accept direction from multiple sources and effectively manage time to ensure deadlines are met.
  • Demonstrate initiative and self-direction to perform a variety of simultaneous skills (multi-tasking).
  • Interpret and relate policies and procedures.
  • Proficient at basic math functions.
  • Maintain a high degree of confidentiality with sensitive information.
  • Establish and maintain good rapport with co-workers, supervisors, vendors, customers and others.
  • Develop and maintain cooperative working relationships with fellow employees, outside contacts, etc.
  • Perform all tasks with integrity and dependability.
  • Visually read reports, computer screen, etc.
  • Frequent sitting with intermittent walking and standing.
  • Work weekends and evenings when needed.

 

Additional Requirements:

  • Must be at least 18 years old
  • Food Handlers Certification (Per State Laws)

 

Machines and Equipment Operated:

  • Office machines (computer terminal, copier/scanner, 10-key, fax machine, telephone, etc.)
