Overview

Job Summary

 

Manages and administers organization and coordination of daily dispatch operations to minimize expense while maintaining a high level of service to WinCo stores. Provides direction and establishes priorities for dispatch and driving staff. Responsibility for hiring, training and supervising dispatchers and drivers, while assuring compliance with all company, contractual and governmental regulations. Ensures all routing and communications systems are used to their full potential to maximize ROI. Responsible for vehicle and/or accident investigation and the completion of paperwork relating accidents. Consistently provide friendly and engaging customer service to internal and external customers. Perform related work.

Typical Duties and Responsibilities

  • Deliver friendly and engaging customer service to internal and external customers by telephone, email, and in person. Model friendly, enthusiastic customer service with an emphasis of taking care of the customer. Interact with maintenance staff regarding company equipment.
  • Assist with installation of On-Board Recorders (OBC) & DriveCam equipment in company vehicles. Utilizes company on-board camera products
  • Oversee compliance with electronic inspection notification programs to ensure timely and accurate reporting of equipment defects to the maintenance department.
  • Ensure DOT Compliance at the state and federal levels, including maintenance and accuracy of DOT Records, and driver training.
  • Maintain Forklift Certification, and provides driver training and compliance.
  • Oversee Safety Regulations and Company Policy compliance and training is completed as required.
  • Review and investigates vehicle accidents, ensure that accident report forms are completed in compliance with company policy, DOT and state regulations.
  • Oversee company OBC activity (OBC) including training drivers on proper usage for efficiency and consistency.
  • Interviews, hires, and directly supervises qualified commercial Truck Drivers and Dispatchers following company, EOE and ADA Standard guidelines. Responsible for assigned sections of new hire orientation and training schedule.
  • Maintain Dispatch and Driver Training Manuals and standard operating procedures for commercial truck drivers.
  • Oversee annual vacation bidding for Drivers and Dispatch staff in coordination with the Transportation Manager.
  • Develop driver routes and access to company delivery points.
  • Work with store management to resolve driver concerns.
  • Attend store openings to help train store personnel regarding freight deliveries.
  • Assist the Transportation Manager and Transportation District Manager with other tasks as assigned.
  • Work with inbound Logistics department for backhaul opportunities on WinCo Private Fleet.
  • Ensure fuel is monitored, purchased and updated on tracker system.
  • Review and approve accounts payable invoices generated by department for payment.
  • Oversee all routing to maximize routing efficiencies while meeting safety standards and store needs.
  • Performs other duties as needed and assigned.

Requirements

Education:

  • High school diploma or equivalent.

Experience:

  • At least three (3) years in a transportation or warehouse supervisor role demonstrating skills in leadership, organization and communication with primary emphasis on transportation.
  • Demonstrating knowledge of State and Federal DOT and FMCSA and other relevant transportation or business laws.
  • Working in a team oriented environment with strong interpersonal and human relation skills demonstrating effective oral and written communication skills necessary to communicate with internal and external team members and customers.
  • Demonstrating knowledge of host, PC and internet-based software applications including Microsoft Office software; (Word, Excel, Outlook, etc.).
  • Using On-Board Recording Devices in a work setting.
  • Using routing software such as CAMS Prospero.
  • Applying working knowledge and expectation of Company Policies and of any Collective Bargaining Agreement.
  • Understanding the relationship between the value of and proper mix of private fleet and common carriers that provides for the most efficient and cost effective service to our customers.
  • Understand, measure, and work towards making sure the appropriate level of overtime is being used.
  • Working knowledge of company and third party vendor policies, labor contract and DOT/state regulations.
  • Demonstrating adaptability and flexibility when confronted with challenging situations or obstacles; comfortable with change and ambiguity; practicing constructive criticism and dealing well with difficult co-workers and supervisors.

 

Ability to:

  • Consistently provide world class customer service to internal and external customers.

  • Maintain a high degree of confidentiality with sensitive information.
  • Read, understand, and apply contracts between WinCo and outside contractors hired to provide services.
  • Apply working knowledge of required local, state and federal regulations.
  • Field and prioritize different tasks, phone calls and projects, accepting direction from multiple sources and effectively managing time to ensure deadlines are met.
  • Conduct visual inspections, read reports, computer printouts, computer screen, etc.
  • Utilize appropriate computer programs to perform tasks such as employee scheduling, product ordering, etc.
  • Continuously learn and improve skills; resilient, receptive and responsive to performance feedback.
  • Stand, walk and move rapidly for long periods of time.
  • Bend, stoop, twist and turn frequently.
  • Occasionally lift and maneuver objects of varying dimensions and weights up to 50 pounds.
  • Perform all tasks efficiently and accurately with confidentiality, honesty and integrity.
  • Travel as required to meet business needs.
  • Perform other duties as assigned or needed.

Machines Operated:

  • Computer, keyboard, mouse, office equipment (telephone, fax, etc.) and other devices.

Preferred Education, Experience and/or Credentials:

  • Valid class A CDL and medical card with some over-the-road driving experience
  • Bachelor’s degree from an accredited college/university
  • Experience dispatching in a high volume fast paced grocery environment.
  • Certified Transportation Professional (CTP) certification.
  • Progressive experience in dispatching up to and including in a Dispatch Supervisor position.
